Conference rooms have changed. What was once a table, a display, and a speakerphone has evolved into a critical collaboration environment connecting employees, executives, clients, partners, and remote participants often across multiple locations and multiple technology platforms.


For smaller meeting spaces, achieving that connection can be relatively straightforward. But boardrooms, training rooms, executive conference rooms, and divisible spaces introduce another level of complexity.


More displays. More microphones. More cameras. More sources. More control. More room configurations.


And yet, the experience for the person using the room should feel remarkably simple.

That’s the goal of thoughtful audiovisual system design: put the complexity behind the scenes so collaboration feels effortless.


Conference Room Design Require More Than Advanced Technology

There’s a temptation when designing a high-end conference or training space to focus primarily on the equipment.


What camera has the best image? How many microphones are required? Which control processor should be used? What size displays will work best?


Those questions matter, but they’re only part of the equation.


The better starting point is understanding how people will actually use the room.

A corporate boardroom may need to accommodate executive meetings one day, a company-wide presentation the next, and a hybrid meeting with participants around the world later that week.


A training room may require an instructor to present locally while sharing content with remote attendees, recording the session, managing multiple sources, and fielding questions from both audiences.


A divisible room might function as three independent spaces in the morning and one large presentation environment in the afternoon.


The AV system has to adapt without asking the user to become an AV technician.


Making Complex Room Controls Feel Simple

Advanced collaboration spaces can require sophisticated control systems to manage displays, audio, cameras, lighting, shades, source selection, conferencing, and room configurations.


But sophistication behind the scenes shouldn't translate to complexity at the control panel.


If starting a meeting requires users to navigate through six screens, select multiple inputs, configure cameras, and troubleshoot audio routing, the room isn't really helping them.


A well-designed control interface can instead give users intuitive choices based on what they actually want to accomplish:


Start Meeting. Present. Video Conference. Combine Rooms. End Meeting.

The technology handles the details.

Designing for the UC Platforms Your Teams Already Use

Hybrid meetings are part of everyday business, which means collaboration spaces need to work seamlessly with the platforms organizations depend on.


Microsoft Teams, Zoom, Webex, and other unified communications platforms each have their own requirements and ecosystems. Organizations may standardize on one platform, or regularly communicate with clients and partners using several.


That makes UC integration an important part of conference room planning.


Cameras, microphones, speakers, displays, control systems, content-sharing devices, and network infrastructure all need to work together to create a consistent experience.

The goal isn't simply to make the technology compatible.


It's to make joining a hybrid meeting feel natural.


Users should be able to enter the room, start their meeting, share content, see remote participants, and hear and be heard clearly without wondering which cable, input, remote, or application they need.


Creating Equity Between the Room and Remote Participants

A successful hybrid meeting shouldn't feel like one meeting happening in a conference room and another happening online.


Remote participants need to be able to see who's speaking, hear conversations clearly, view shared content, and participate naturally.


That requires careful attention to both audio and video design.


Camera placement and framing should provide meaningful views of participants rather than simply showing a wide shot of the entire room. Depending on the environment, multiple cameras, speaker tracking, or intelligent framing may improve the remote experience.


Audio is equally critical.


Microphone coverage must account for seating positions, room acoustics, movement, and different meeting configurations. Proper loudspeaker placement and audio processing help ensure remote voices sound natural throughout the room while reducing echo and other distractions.


In advanced spaces, these details can make the difference between simply supporting videoconferencing and creating a genuinely collaborative environment.


Divisible Rooms: One Space, Multiple Personalities

Divisible spaces introduce an additional challenge because the AV system needs to understand what the physical room is doing.


A large training or meeting space might divide into two or three smaller rooms, each requiring independent displays, audio, microphones, sources, and conferencing capabilities.


When the partitions open, those independent systems may need to operate as one.


That requires thoughtful system design, programming, audio routing, and control.

Ideally, users shouldn't have to manually reconfigure every piece of equipment when the room changes. The system should make transitioning between configurations as intuitive as possible, allowing the technology to follow the way the space is being used.

Planning these workflows during the design phase is essential. Trying to accommodate them after installation can lead to unnecessary complexity and compromises.


User Adoption Is Part of AV System Design

Even the most technologically impressive conference room provides little value if employees avoid using it.


User adoption problems often show up in familiar ways:

  • Employees bring laptops into a fully equipped room because they don't trust the installed conferencing system.

  • Meetings start ten minutes late while someone searches for the correct input.

  • IT gets called every time an executive needs to launch a video conference.

  • Employees choose a smaller, less capable room because it's easier to use.


These aren't necessarily technology failures. They're often user-experience failures.

That's why successful collaboration spaces should be designed around the people who will use them.


Consistent interfaces across rooms, clearly labeled controls, predictable workflows, intuitive automation, and appropriate user training can dramatically increase confidence and adoption.


The objective isn't to teach employees how AV systems work.

It's to make sure they don't need to know.


Designing for Fall—and Beyond

August is an ideal time for organizations to evaluate their meeting and collaboration environments.


As summer schedules wind down, companies begin preparing for fall travel, executive meetings, training programs, customer presentations, planning sessions, and year-end initiatives.


That makes this a good opportunity to ask a few questions:

  • Are your largest meeting spaces supporting hybrid collaboration effectively?

  • Are employees actually using the technology that's already installed?

  • Do remote participants have an equitable meeting experience?

  • Can training and divisible rooms easily adapt to different configurations?

  • Are IT and AV teams spending too much time troubleshooting routine meetings?

  • And are today's conference rooms flexible enough to support how the organization will work tomorrow?

Make Technology Powerful. Make the Experience Simple.

Advanced collaboration spaces don't need to feel complicated.

In fact, the more sophisticated the technology becomes behind the scenes, the more important it is to simplify the experience in front of the user.
